These Service Terms and Conditions set out the basis on which The Hale Carpet Cleaners provides domestic and commercial carpet cleaning services. By making a booking, confirming an appointment, or allowing work to begin, the customer agrees to these terms. They are intended to be clear, fair, and practical, and to apply to all standard carpet cleaning, rug cleaning, upholstery-related cleaning where agreed, stain treatment, and associated services supplied under the name The Hale Carpet Cleaners.
In these terms, references to “we”, “us”, and “our” mean The Hale Carpet Cleaners. References to “you” and “your” mean the person, business, or organisation placing the order. If you book on behalf of another person, you confirm that you have authority to accept these terms on their behalf. These terms apply alongside any written quotation, job confirmation, or agreed service specification, and where a conflict arises, the specific booking confirmation will usually take priority to the extent necessary.
We reserve the right to update these terms from time to time. The version in force at the time of booking will apply to your service unless a later change is required by law. Nothing in these terms affects your statutory rights as a consumer where applicable. 1. Booking process
Bookings may be made by any method we make available from time to time, including written request, online form, email, or telephone. A booking is not confirmed until we acknowledge it and, where required, receive any deposit or pre-authorisation requested. We may ask for information about the size, condition, fibre type, access arrangements, and any known issues affecting the carpets or premises. This allows us to provide a more accurate quotation and to assess whether specialist treatment is needed for the carpet cleaning appointment.
All quotations are based on the information available at the time of issue. If the condition of the carpet differs materially from what was described, if the area to be cleaned is larger than stated, or if additional work is required on arrival, we may revise the price before proceeding. Where the customer does not accept the revised price, we may cancel the service or complete only the agreed portion if that is practical and safe.
2. Access, preparation, and customer responsibilities
You must ensure that the cleaning area is reasonably accessible at the agreed time. This includes arranging entry to the property, moving fragile items if needed, and allowing space for equipment. Where heavy furniture must be moved, you should tell us in advance so that we can confirm whether this is included. We may refuse to move items that are unsafe, excessively heavy, fixed, unstable, or likely to be damaged. For any carpet cleaner appointment, you should also remove valuables, breakables, and items you do not want to be handled during the work.
You are responsible for disclosing relevant information before work begins, including but not limited to: recent flooding, mould, pet contamination, pre-existing staining, loose seams, damaged backing, underfloor heating, delicate natural fibres, dye instability, or any previous treatment that may affect the outcome. Failure to disclose such matters may limit the effectiveness of the cleaning process and may affect liability. We are entitled to rely on the information you provide, and we will not be responsible for issues arising from inaccurate, incomplete, or delayed disclosure.
Where children, pets, or vulnerable persons are present, you must take appropriate precautions during the visit. Cleaning solutions, moisture, hoses, and equipment may create temporary hazards. The Hale Carpet Cleaners may ask that certain areas remain clear until drying is complete. You agree to follow any reasonable aftercare instructions we provide, including ventilation, limited foot traffic, or avoidance of furniture replacement before the carpet surface is sufficiently dry.
3. Payments
Unless otherwise agreed in writing, payment is due on completion of the service on the day of attendance. We may require advance payment, part-payment, or a deposit for larger bookings, commercial work, or specially ordered treatments. Accepted payment methods will be communicated at the time of booking or on the invoice. The Hale Carpet Cleaners may suspend or refuse future services where previous invoices remain unpaid.
All prices are stated in pounds sterling and, where applicable, may include VAT or other taxes as required by law. Any quotation or estimate provided before inspection is based on the stated scope only and does not include unforeseen additional work unless specifically agreed. If the job becomes more extensive on site, additional charges may apply for extra rooms, stain treatment, specialist equipment, parking charges where unavoidable, or extended labour time. We will seek your approval before applying such charges where reasonably practicable.
If payment is not made when due, we may charge interest and recovery costs to the extent permitted by law and under the Late Payment of Commercial Debts legislation where applicable. In consumer transactions, we will act reasonably and in accordance with the law. Title to any goods supplied, if applicable, remains with us until payment has been received in full. No set-off, withholding, or deduction may be made unless agreed or required by law.
4. Cancellations, rescheduling, and non-attendance
You may cancel or reschedule a booking by giving reasonable notice. Where a deposit has been taken, the refund or retention of that deposit will depend on the timing of the cancellation and any costs already incurred. We may retain all or part of a deposit if the cancellation is late, if materials have been ordered, or if a specific time slot has been reserved and cannot reasonably be reallocated. The Hale Carpet Cleaners will always aim to deal fairly with changes, but we are entitled to protect against avoidable loss.
If you are not present at the agreed time and no suitable access has been provided, or if the job cannot proceed because the premises are not ready, we may treat the appointment as a late cancellation. In such cases, a call-out fee, wasted journey charge, or part-charge may apply where reasonable. We may also rearrange the work at our discretion. Repeated cancellations, repeated failures to provide access, or abusive behaviour may lead us to decline future carpet cleaning services.
If we need to reschedule because of illness, equipment failure, severe weather, traffic disruption, or other matters beyond our reasonable control, we will contact you as soon as practicable and offer an alternative appointment. We are not liable for inconvenience caused by a necessary change of date where we have acted reasonably. Any amounts already paid for a cancelled appointment will be refunded or carried forward, depending on the circumstances and your preference, unless lawful deductions apply.
5. Service standards and limitations of liability
We will use reasonable skill and care in performing the service. However, carpet cleaning outcomes depend on many factors, including pile type, age, wear, prior cleaning history, and the nature of any staining. Not all marks can be fully removed, and some stains may reappear due to wick-back, hidden contamination, or pre-existing residue. We are not responsible for normal wear and tear, colour loss caused by unstable dyes, shrinkage resulting from pre-existing conditions in the carpet, or damage caused by defective backing, poor installation, hidden water damage, or unsuitable prior treatment. We are also not liable for any loss or damage caused by your failure to disclose material information, by following incorrect aftercare, or by allowing the carpet to be used before it is dry. Any claim for damage must be reported promptly and in any event within a reasonable time after the service.
Our total liability to you for direct loss arising from our negligence or breach of contract will be limited to the price paid for the specific service giving rise to the claim, except where the law does not permit such limitation. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded. We are not liable for indirect or consequential losses, loss of profit, loss of business, or loss of goodwill.
6. Waste regulations and environmental handling
We will handle waste generated during the provision of our carpet cleaning service in accordance with applicable UK waste rules and environmental obligations. This may include used cloths, disposable materials, extracted residues, and packaging. Where waste must be removed from site, we will do so lawfully and responsibly. We may separate, contain, and dispose of waste in line with our internal procedures and any relevant duty of care requirements. You agree not to ask us to dispose of household waste or prohibited items unless this has been expressly agreed and is lawful.
Wastewater, contaminated material, or residues extracted during cleaning may not be suitable for discharge into all drains or surfaces. We will choose a method of disposal that is appropriate to the job and lawful in the circumstances. If you instruct us to use a particular disposal route that is unsafe or non-compliant, we may refuse. Where a job involves bio-contamination, soiling from pets, or other potentially hazardous material, additional controls may be required and may affect the price. Any special handling will be discussed before work starts where possible.
You must not conceal hazardous substances, needles, chemicals, or other dangerous items in areas to be cleaned. If such items are discovered, we may stop work immediately and take steps we consider necessary for safety. The Hale Carpet Cleaners will not be responsible for disposal costs, delays, or extra charges caused by undisclosed hazardous waste or materials. If a legal authority, landlord, or managing agent requires specific waste documentation or procedures, you must inform us in advance.
7. Complaints, interruptions, and force majeure
If you are dissatisfied with any aspect of the service, you should notify us as soon as possible after completion and provide a fair opportunity to inspect the issue. We may ask for photographs, further information, or a return visit if appropriate. Where a problem is caused by something within our control, we may choose to re-clean part of the area, offer a proportionate refund, or take another reasonable step to resolve the matter. This does not affect any rights you may have under law.
We are not liable for delay or failure caused by events outside our reasonable control, including but not limited to extreme weather, fire, flood, transport disruption, industrial action, public utility failure, or emergency restrictions. If such an event affects a booked carpet cleaning service, we will use reasonable efforts to rearrange the appointment or reduce disruption. Neither party will be treated as in breach for the period of the external event, provided that reasonable steps are taken to mitigate its effects.
8. Governing law and jurisdiction
These terms and any dispute or claim arising from them, whether contractual or non-contractual, are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except where mandatory consumer law provides otherwise. If any part of these terms is found to be unlawful, invalid, or unenforceable, the remaining provisions will continue in full force and effect. 9. General provisions
Any failure or delay by us in enforcing a right under these terms does not mean that right has been waived. A waiver will only be effective if confirmed in writing. You may not transfer your rights or obligations under these terms without our written consent. We may assign or subcontract performance where this does not materially reduce the service standard or your legal protections. References to any law include that law as amended or replaced from time to time.
